The Problem

The deposit is automated through Rezdy. Why is literally everything after that manual?

Boutique Tasmanian tour operators manage the entire post-booking guest journey in Gmail and Google Sheets. Pre-arrival packs assembled by hand. Balance payments chased manually. Past guests sitting in a spreadsheet nobody contacts. It's 10-15 hours a week of admin that has nothing to do with guiding.

10-15 hrs
Per week spent on manual guest admin during peak season (evenings and Sundays)
$150K
Potential repeat booking revenue sitting untouched in the average operator's past-guest spreadsheet
$10,735
Monthly cost of manual admin and lost repeat revenue at peak, per operator, per month
94
Average past guests who loved your tour and haven't heard from you since
In Their Words

Sound familiar?

These are real pain points from Tasmanian boutique tour operators. The tools exist to solve every one of them.

"

I spend Sunday nights emailing 14 different guests their arrival instructions, dietary confirmations, and gear lists. I'm a tour guide, not a secretary.

Wilderness Walk Operator
"

That list represents at least $150,000 in potential repeat bookings and I haven't touched it once. These people loved what we did. They've probably forgotten we exist.

Food & Wine Tour Operator
"

My guides sometimes arrive without knowing the dietary requirements. I copy-paste them into a text message the night before. That's my system.

Multi-Day Experience Operator
"

I built this business to take people into wild places. I don't know when it became a data entry job.

Private Charter Operator
The Real Cost of Manual Admin

The spreadsheet system costs your business $10,735 a month at peak season

Not in a consultant's bill: in your own time and in revenue you never recover.

Pre-departure admin (14 hrs/week × $80/hr opportunity cost)
$4,800/mo
Manual balance chasing & bad debt (avg 2-5% of revenue)
$1,250/mo
Lost repeat bookings: recoverable if you stayed in contact
$4,935/mo
Total monthly overhead
$10,985/mo
What's recoverable
$64,000+
Over a six-month peak season, that's $64,000+ in time and lost revenue going to manual admin and uncontacted past guests.

TourTide costs $297 per month to run the whole operation automatically: pre-arrival, balance collection, live itineraries, repeat bookings. That's less than 3% of what you're currently leaving on the table.
The Solution

Five modules. The entire guest journey, automated.

From the moment a deposit lands to the annual re-engagement email 11 months later, TourTide handles it without you touching Gmail.

📋

Booking & Guest Manager

One screen replaces the Google Sheet. Every booking, guest, dietary requirement, pickup time, and payment status: searchable, sortable, and linked. Import your existing guest history via CSV on day one.

✉️

Pre-Arrival Automation

Three branded emails fire automatically: T‑14 days (gear list, dietary form), T‑7 (guide introduction, pickup confirmation), T‑48 hours (final details). You set the templates once. They run every season.

💳

Balance Collection

Stripe deposit on booking. Automatic balance link at T‑30. Reminder at T‑20. Dashboard alert at T‑14 if still unpaid. One-click resend. You only get involved when a guest genuinely hasn't paid, which is rare.

📱

Live Itinerary

A mobile-friendly URL shared in the T‑7 email. When a pickup time changes or a venue swaps, you update once in the dashboard. All guests see it instantly. No re-sending. Guides get a separate run sheet URL with dietary requirements and pickups for their departure.

🔄

Post-Trip Re-engagement

T+2: personalised review request. T+14: referral nudge while they're still talking about the trip. T+11 months: early access to next season, precisely when they're planning next year's travel. Your past-guest list becomes a live revenue pipeline from day one.

How It Works

Running on autopilot in three steps

No developer. No integrations to wrangle. Set up your first experience in the time it takes to eat lunch.

1

Set up your experience

Add your experience details: gear list, description, deposit percentage, balance timing. Customise the three email templates once. Preview how they'll look to your guests. Done in under an hour.

2

Import your past guests

Upload a CSV with your past-guest history. TourTide calculates which re-engagement sequences to fire and when. Your 94 past guests become a live pipeline before you've created your first new booking.

3

Run every season on autopilot

Create a booking and add your guests. The sequences fire, the balance gets chased, the run sheet generates, the post-trip emails go out. You guide. TourTide does the rest.

The Numbers

TourTide pays for itself in the first week of peak season

The only question is whether you spend the next season in Gmail or on the trail.

The Manual Way: Gmail + Sheets
$10,985 / mo at peak
Ongoing cost during the 6-month season
14+ hours per week of admin you're not getting back. Balance chasing that sometimes doesn't work. Past guests who booked once and never came back. A guide who found out about the nut allergy on day two.
You Recover
$64,000+ / season
Time + repeat revenue across a 6-month peak
Same experiences. Same guests. Same season, but the admin runs itself and past guests are hearing from you again for the first time in years.

Frequently Asked Questions

Common questions

Does it work with Rezdy or Bókun?
On the Essentials plan, bookings are created manually in TourTide (a two-minute process per booking) or imported via CSV. On the Growth plan, Rezdy and Bókun send bookings to TourTide automatically via webhook. A booking confirmed in your OTA appears in TourTide and kicks off the sequence clock without you touching it. If you're not on Rezdy or Bókun yet, the manual entry process is fast enough that most operators prefer it anyway, since it keeps them in control of the guest record from the start.
Do my guests need to create an account or download anything?
No. Guests never log in to anything. They receive emails from your business (not from TourTide), click a link to their itinerary (a clean mobile page) or to submit their dietary requirements. Everything is a public URL. No app. No account. Nothing to download. Guides access their run sheets the same way: a link, on any phone.
How long does initial setup take?
Most operators complete the setup for their first experience in under an hour. You'll add your experience details, customise the three email templates (or use the defaults, written in the language your guests expect), connect Stripe for payments, and import your past guest CSV. After that, creating a new booking and adding guests takes about two minutes. The onboarding wizard walks you through every step. No documentation to read.
Will the automated emails land in spam?
TourTide sends via smtp2go, a dedicated transactional email service with strong deliverability. During onboarding, we walk you through adding DKIM and SPF records to your domain (a five-minute DNS change). Once set up, emails come from your own domain address and hit the inbox reliably. Pre-arrival and post-trip emails that come from a trusted sender are the ones guests open. Deliverability is a priority for us, not an afterthought.
What happens to my past guests on day one?
Upload a CSV with your past-guest history: name, email, experience name, travel date. TourTide calculates exactly which sequences still make sense to send and when. Guests who travelled 10 months ago will receive their annual re-engagement email within weeks. Guests who travelled two months ago get the referral nudge this week. Guests who travelled three weeks ago: the review request has already gone. By the time you've had your first coffee on day two, your past-guest list is a live pipeline again.
Can I customise the email templates?
Yes. Every template is yours to edit. Subject lines, body text, tone, sign-off. You set the templates once per experience during onboarding; after that they fire automatically. The defaults are written in the language boutique operators actually use (personal, not transactional), and most operators make minor tweaks and leave them alone. Variables like {{guest_name}}, {{experience_name}}, and {{pickup_time}} are substituted automatically per guest.
What if it's not right for us?
The 14-day free trial is genuinely free. No credit card captured upfront. If after the trial TourTide isn't doing what we've described, you walk away with nothing charged. If you're already on a paid plan and want to leave, cancel with 30 days notice. All your booking records, guest data, and sequence history are exportable at any time. We don't hold your data to keep your subscription.
